Procurement Officer
Job holder reports to: Senior Procurement Manager.
Context.
HACO Industries (Kenya) Limited is one of the region’s leading FMCG manufacturers, supplying a wide range of products to the entire East African and COMESA Markets. We are well known as an indigenous Kenyan company that manufactures quality personal and home care brands that include MIADI, AMARA, SO-SOFT, SPARKLE, ACE, HACO pegs and rulers. Scope and Primary purpose of the role.
The overall responsibility of the job holder will be Purchasing plans and engaging appropriate suppliers to service the requirements in good time and ensuring that approved purchases are cost efficient and of high quality.
Responsibilities

  • In liaison with the head of department, analytically determine the company’s immediate
    and future purchasing needs.
  • Ensure procurement best practice is followed using the detailed guidelines provided in the
    Procurement Manual/Guideline.
  • Receive and review procurement requests and initiate procurement procedures for
    production inputs, company equipment, supplies and services in a transparent and costeffective manner.
  • Strategic Sourcing
  • Procurement Order fill – Assist with the preparation of RFQ’s, Initiations to Bid, Requests for Proposal PO’s and co-ordination of their timely dispatch.
  • Conduct negotiations on contractual agreements with suppliers to ensure added value, lowest total cost while ensuring quality is not compromised.
  • Follow through with the clearance of imported materials and exportation of final products.
  • Filing, invoicing, record keeping and following up payments.
  • Maintain appropriate records such as vendor quotes, purchasing requisitions, purchase orders and reports to ensure that procurement process, decision, and contractual agreements are accurately documented for accountability and audit purposes.
  • Assist in any internal and external audits and the maintenance of a running list of previous
    audit recommendations and the status of their implementation.
  • Analyzing invoices against receiving reports before authorization of payment to suppliers and
    making follow ups to ensure suppliers are paid on time.
  • Monitoring purchases of capital or recurrent expenditure against budget and usage of goods and services within the organization to ensure minimal expenditure.
  • Supplier Management – Maintain regular contact with contracted suppliers to monitor adherence to delivery period according to the terms of procurement agreement.

Qualifications

  • Bachelor’s Degree in Supply Chain Management, Procurement, Economics, Finance, Operations, and any additional procurement and supply chain certification will be an added advantage
  • Member of Kenya Institute of Supplies Management (KISM).
  • 3-5 years of procurement experience in a busy manufacturing or FMCG environment.

Technical/ Operational Competencies.

  • Familiarity with relevant legislative and regulatory requirements, as well as understanding of standard contractual terms and conditions to mitigate legal risk.
  • In-depth knowledge of sourcing and procurement principles and best practices.
  • Good working knowledge and understanding of modern Inventory Management practices to boost efficiency.
  • Working experience with Material Resource Planning software applications.
  • Data analytics capability.
  • Good planning and organization skills
  • Ability to work under pressure and meet deadlines
  • Good interpersonal skills
